Governance


The SAM governance model ensures robust oversight and effective decision-making by drawing on a wide range of perspectives across the university. This inclusive approach supports a seamless, efficient academic experience for students, faculty, and staff as we optimize critical processes.

These governance bodies provide project guidance, manage risks and issues, allocate resources, engage stakeholders, monitor progress, ensure quality, and serve as escalation points.

Led by an Executive Sponsor and a Steering Committee, the governance structure also includes five process-based working groups and three cross-process working groups. Members—selected from across the campus community—help design future processes and keep all impacted stakeholders informed and involved.

Working Groups

Advising & Registration

The Advising and Registration Working Group oversees the implementation of Stellic’s academic planning, advising, and registration capabilities. The group ensures the system supports comprehensive, personalized advising and effective academic planning for students. By evaluating current advising and registration processes and identifying improvements, the team helps create a seamless, supportive environment for students. Their work includes engaging stakeholders, mapping processes, gathering requirements, and continuously assessing progress to meet the university’s evolving needs.

Catalog

The Catalog Working Group manages the university’s annual undergraduate, graduate, and professional catalogs through a single platform—Coursedog. The group ensures the catalogs remain comprehensive, accurate, and up to date, giving students and staff easy access to essential course and program information. Members define requirements, assess current processes, implement Coursedog’s catalog module, and introduce improvements to streamline catalog production and maintenance. Their work keeps the catalogs reliable and effective tools for academic planning and decision-making.

Change, Communication, and Training

The Change, Communication, and Training Working Group supports all SAM working groups by managing campus communications, documentation, and training efforts. The group ensures stakeholders are informed, engaged, and prepared for the transition to the new systems. Key responsibilities include developing training materials, conducting training sessions, and facilitating effective campus-wide communication. By promoting a culture of continuous improvement and stakeholder engagement, the group helps secure the successful adoption and long-term sustainability of the SAM initiative.

Curriculum Management

The Curriculum Management Working Group oversees the implementation of the curriculum management module in Coursedog. Curriculum management includes planning, developing, and administering academic programs and courses to meet educational standards and institutional goals. The group ensures the new system aligns with UF’s objectives and streamlines the creation, approval, and maintenance of academic programs and courses.

Data, Reporting, and Analytics

The Data, Reporting, and Analytics Working Group leverages data from Coursedog and Stellic to support decision-making and institutional planning. The group ensures data quality and accessibility to drive continuous improvement and align with campus priorities. Members capture existing reports and analytics efforts to build a clear picture of current capabilities. By developing robust analytics dashboards, they provide actionable insights that enable evidence-based decisions and timely action, empowering users to make informed, impactful choices.

Degree Audit

The Degree Audit Working Group manages the implementation of Stellic’s degree audit functionality. The group ensures the system accurately tracks student progress toward degree completion, providing clear, actionable insights for both students and advisors. Members review and refine existing audit processes, gather requirements, and confirm the system meets regulatory and institutional standards. Their work supports improved academic planning and advising, ultimately enhancing student success and retention.

Scheduling

The Scheduling Working Group handles the implementation of the course, room, and exam scheduling module in Coursedog. The group optimizes scheduling processes and policies to enhance resource utilization and meet the diverse needs of the academic community. Through detailed process mapping and requirements gathering, members develop strategies to improve scheduling efficiency and accuracy. Their work ensures scheduling operations remain student-centered, data-driven, and aligned with institutional priorities.

Technical

The Technical Working Group manages the IT aspects of the SAM initiative, ensuring Coursedog and Stellic integrate seamlessly with existing systems. The group focuses on system integration, security, data mapping and migration, and technical support, working closely with other groups to address IT-related challenges. Key responsibilities include safeguarding data integrity and providing a user-friendly experience for all stakeholders. Their efforts ensure the technical robustness and reliability of the new systems.
